What we collect, why we collect it, and who sees it
Prime Sports handles information about children. We treat that as the responsibility it is: we collect what running a tournament actually requires, and nothing we don’t need.

What we collect
Almost everything we hold is information someone gave us on purpose — a coach building a roster, a parent uploading a birth certificate, an umpire setting their travel radius. We don’t buy personal information from data brokers, and we don’t build advertising profiles.
Account details

- So a parent can sign consents and see their own child's schedule and documents
Age-verification documents
- Examples
- Birth certificates, passports, or government-issued ID that you upload
- Why we need it
- To confirm a player is eligible for the division they're registered in
Registration & payment records
- Examples
- Which teams registered for which tournaments, amounts due and paid, payment status
- Why we need it
- To process entry fees and show coaches and directors what's outstanding
Game activity
- Examples
- Scores, pitch counts, lineups, substitutions, umpire assignments, incident reports
- Why we need it
- To run and publish tournaments, and to enforce pitch-count rest rules across events
Messages
- Examples
- In-app messages between coaches, parents, umpires, and tournament directors
- Why we need it
- To let the people involved in a game reach each other
Umpire availability
- Examples
- Home address, travel radius, states worked
- Why we need it
- To match umpires to tournaments near them and estimate mileage for pay
We also keep basic technical records — the pages served, error logs, and the timestamps of actions taken in the app — which we use to keep the site working and to investigate problems.
How we use it
We use the information above to:
- Run tournaments — registration, scheduling, scoring, standings, and brackets
- Confirm eligibility, including age division and pitch-count rest requirements that carry across tournaments
- Process entry fees and camp registrations
- Send operational email — weather and lightning alerts, game relocations, roster invitations, and sign-in links
- Publish public tournament information: schedules, scores, standings, and team rankings
- Keep the platform secure and investigate misuse
We do not sell personal information, and we do not use children’s information for advertising.
Children’s privacy
Most players on this platform are minors, and many are under 13. Player profiles are created by a coach or a parent — not by the child — and a player’s own login is optional, intended for older teens.
Consent forms and waivers are signed by a linked parent or guardian, not by the player. A parent or guardian can review everything we hold about their child from their dashboard, including uploaded documents, and can ask us to delete it.
What’s visible publicly about a minor is deliberately limited: a name, jersey number, team, and game statistics on a published schedule or scorecard. Birth certificates, dates of birth, contact details, and guardian information are never shown publicly.
Documents & age verification
Age-verification documents are stored in private file storage — never in a public folder — and are viewable only by the uploading parent, the player’s coach, and Prime Sports administrators reviewing eligibility.
To speed up review, an uploaded document may be checked by an automated verification step that reads the document and compares the name and date of birth against the player’s profile. This check runs through a third-party AI provider. Anything the automated check can’t confirm goes to a human administrator instead of being rejected outright.
You can view, replace, or delete a document you uploaded at any time from your dashboard.
Payments
Entry fees, camp registrations, apparel orders, and subscriptions are processed by Stripe. Payment card details are entered on Stripe’s own checkout and are never sent to or stored on Prime Sports servers.
What we keep is the record around the payment: what was purchased, the amount, the status, and Stripe’s reference for it. Stripe’s handling of your payment information is governed by their own privacy policy.
How long we keep things
Account and roster information is kept while the account is active. Tournament results — scores, standings, and statistics — are kept as a permanent competitive record, since rankings and pitch-count history depend on past games.
Age-verification documents are kept only as long as they’re needed to confirm eligibility, and can be deleted by the uploader at any time. Payment records are kept as long as tax and accounting rules require.
Releasing a player from a roster keeps their historical game record intact but removes them from the active roster.
Your choices
You can, at any time:
- Review and correct your account details from your dashboard
- View, replace, or delete documents you uploaded
- Ask us for a copy of the information we hold about you or your child
- Ask us to delete your account and associated personal information
Depending on where you live, you may have additional rights over your personal information. Email us and we’ll honor them. Note that we can’t remove a completed game from the competitive record, but we can remove the personal details attached to it.
Security
Traffic is encrypted in transit. Passwords are stored hashed, never in plain text. Uploaded documents live in private storage that isn’t publicly reachable. Access inside the app is scoped by role, so an account only reaches the teams, games, and tournaments it’s actually connected to.
No system is perfectly secure. If we discover a breach affecting your personal information, we’ll notify you and the appropriate authorities as required.
Changes to this policy
If we change how we handle personal information, we’ll update this page and move the “last updated” date. For a change that meaningfully affects your rights, we’ll tell account holders by email rather than relying on you to notice.
